What is an expense allowance?

With an expense allowance, you compensate employees for costs they incur in the performance of their work, such as travel expenses, representation expenses, materials, or home office expenses. It is intended as reimbursement of actual costs, not as disguised wages.

Tax-exempt under the work expenses scheme

Whether a reimbursement can be tax-free depends on the Work Expenses Scheme. A targeted exemption applies to some costs (such as certain travel expenses and the teleworking allowance); other reimbursements are charged against the available tax-free allowance. If you stay within the rules, you can reimburse a significant amount tax-free. (The amounts and conditions change periodically; coordinate this with your payroll department.)

Fixed fee or reimbursement

You can reimburse expenses on a declaration basis (the employee submits receipts) or via a fixed expense allowance. A fixed allowance is practical, but it must be substantiated by a reasonable estimate of the actual costs; otherwise, the tax authorities may classify it as wages. Therefore, have the substantiation ready.

Establish the policy

A clear, documented expense policy prevents disputes and unequal treatment: which costs do you reimburse, up to what amounts, and how should the employee submit claims? Include this in an employee handbook or policy. This way, everyone knows where they stand and you comply with the rules.

Frequently Asked Questions

Can I reimburse expenses tax-free?

Often yes, within the work-related expenses scheme: via targeted exemptions or the tax-free allowance. The amounts and conditions change; check the current rules.

May I provide a fixed expense allowance?

Yes, provided it is substantiated by a reasonable estimate of the actual costs. Without substantiation, the tax authorities may classify it as wages.

Do I need to document my expense policy?

Highly recommended: this prevents disputes and unequal treatment. Document it in an employee handbook or policy.
